PRIVACY AT THE TABLE
Clarity about what you share.
How inquiries and the client space use the information you choose to share.
The inquiry form
When you submit an inquiry, this website sends your name, reply email address, selected coaching interests, message, and any communication preferences to the server. These details are used to respond to your inquiry and discuss coaching with you.
Private storage and notifications
A copy of your inquiry is stored in the site’s private database as a backup. A notification is sent to Kiana’s private inbox. Submissions are not displayed publicly, and the website does not provide a public directory or feed of inquiries.
Sites hosting and its Cloudflare database process this information to operate the form and store the backup. Google processes notification emails through the configured Gmail account. Technical request information is also used to limit spam and repeated submissions.
What to include
Please keep your initial inquiry brief and include only the details needed to begin a conversation. You can discuss how to share further information before beginning coaching.
Coaching information and agreements
The website inquiry is an initial contact. Intake, coaching agreements, and arrangements for sharing further information are separate steps to discuss before beginning coaching.
The private client space
Approved clients can use the client space to keep contact details, communication preferences, goals, milestones, action steps, intake responses, session reflections, optionally shared completed worksheets and written resource responses, documents, messages, and billing references together. Clients can access their own records and resources Kiana assigns to them, along with any older resources previously shared with all approved clients. Kiana can manage client records and access. Notes marked as coach-only are not included in the client view.
Client sign-in uses Firebase Authentication when activated. Firebase processes the email address, password-based sign-in, verification, and account recovery. Passwords are managed by Firebase; the coaching site does not store them. Sites hosting and Cloudflare provide the portal database and protected document storage. The portal does not make client records or documents public.
Booking buttons open Zoom Scheduler. Payment buttons open Square checkout or a Square invoice. Those services process the information you provide to them under their own privacy policies. This site does not collect card details. Invoice status in the portal is maintained by Kiana.
Portal messages are saved in the client space and are not automatically emailed. The Table Guide displays prepared answers about using the portal; it does not send your coaching notes to an AI model. Contact Kiana to discuss access, corrections, or deletion of portal information.
Optional session audio recordings
With permission from everyone taking part, Kiana may record session audio using Zoom cloud recording to help prepare accurate coaching notes, summaries, and action steps. Recording is optional: you can decline or ask to stop at any time and continue coaching with typed or handwritten notes. Kiana asks for permission before each recording, including when a new person joins.
Zoom processes and stores the recording in its cloud as a service provider. The recording is for Kiana’s note preparation; it is not published in the portal, distributed to other clients, or used for marketing or training. Client-facing notes and summaries are shared separately with the relevant client. Zoom AI Companion summaries are not used for these sessions.
Raw audio is deleted within 30 days of the session date, and sooner when it is no longer needed after the notes have been checked. This includes copies downloaded by Kiana and recordings in Zoom’s recoverable trash. Written coaching notes are separate from raw recordings and may be kept for the ongoing coaching relationship and related recordkeeping; they are not automatically deleted with the audio. Contact Kiana about access, correction, or deletion requests.
Access is limited to Kiana and the service providers needed to operate and protect the service, except where disclosure is required by law. Read Zoom’s privacy information and the session recording policy.
Sharing completed resource work is optional. Clients can upload a completed copy or write a response in Shared work. These submissions and attachments are available only to that client and Kiana through the portal. Filling in a downloaded worksheet does not automatically send it. Kiana may mark a submission reviewed; this status is visible to the client. Removing a shared copy from the portal does not remove copies previously downloaded by either participant.
Cookies and browser storage
This site uses essential security and sign-in storage. Cloudflare may set a security cookie to help distinguish legitimate visitors from automated traffic. The client portal uses Firebase Authentication and browser storage to maintain your sign-in. Signing out ends your active portal session; you can also clear site data in your browser.
The site does not currently use advertising pixels, optional analytics trackers, or third-party embedded booking or payment widgets. Booking and payment links open the provider’s website, where that provider’s own privacy and cookie information applies. Any future optional tracking will be reviewed before it is enabled.
Questions, corrections, or deletion
Use the contact form to ask about information you have submitted, request a correction, or request deletion. Include your inquiry reference if you have it.
